Headcount band determines the question
20-50 attendees is the villa sweet spot. Below 20, villa is over-spec; you pay for a 25-pax-capable property and use 15 seats. Above 50, villa logistics break down — most premium villas top out at 30-40 sleeping capacity, and event logistics (catering throughput, bathroom capacity, AV room sizing) get strained above the design intent. Above 50 attendees, default to hotel.

Villa rental insurance typically covers the structure and basic residential liability. It does not cover a corporate event with hired catering, AV crew, and guest-accident exposure at the scale of a 30-person offsite. Logistics deltas you need to budget
- Ground transport. Villa: shuttle from FLR or NCE or MRS airport, 2-3 vans, budget EUR 1,500-3,000 for the event. Hotel: often walkable from train station, transport budget under EUR 800.
- WiFi + AV. Villa: residential WiFi often unreliable; rent satellite uplink (EUR 1,500-3,500) plus portable AV kit (EUR 2-4k). Hotel: typically included or upcharged predictably.
- Catering. Villa: chef-driven menu, on-site sourcing, dietary mix easy to handle. Hotel: set menu, less flexibility, dietary mix needs T-30 briefing.
- Daily logistics. Villa: no concierge, you run logistics directly; budget a coordinator. Hotel: concierge handles ad-hoc requests.

Pick hotel if any of these are true: above 50 attendees, under 3 days, hybrid attendees included, first-time exec offsite for the planner (lower delivery risk matters), or budget gap above hotel exceeds 25% without privacy justification.
Tuscany vs Provence
Tuscany peaks late August through October when the food culture is at its richest and the harvest narrative adds to the experience. Provence peaks April through June and September when the weather and lavender are best. Both are challenging in July (heat) and November-March (rain, closed villas).
