Why our pricing is honest

Three prices. One currency. No hidden line items.

The price on the card is the price on your invoice. Pro is €79/month. Team is €159/month. Agency is €319/month. EUR ex VAT. That's it. There is no per-RFP fee, no per-hotel-contacted fee, no per-proposal-received fee, no per-PDF-exported fee. If you run 3 RFPs this month or 30, the invoice is the same.

Per-seat math is published, not negotiated. Pro is 1 seat. Team is 5 seats included. Agency is 15 seats included. If you need more seats than your tier ships with, you change tier — you don't get an upsell call. The seat count is on the card, on this page, before you sign up. Nothing about it changes after you become a customer.

We don't offer annual lock-in because lock-in is how vendors keep customers who would otherwise leave. We'd rather earn the renewal each month. Annual billing exists as a discount — 35% off the monthly price — for planners who already know the product fits their workflow. It is a saving, not a contract. Cancel on day 31 of a 12-month plan and Stripe refunds the unused months pro-rata. The discount is the only reason to pick annual; the only reason to stay is that the product is working.

Pro · €79/month · 1 seat

Pro is built for the planner running her events on her own. One login, one inbox, one pipeline. You get unlimited RFPs across the year, with up to three running in parallel at any moment — the cap exists so the AI scoring quality stays high, not as an upsell ramp. Every brief reaches the full 27,000+ EU hotel directory and the 15,000+ MICE-ready subset, with no extra fee for either pool.

Inside each RFP you get the BAFO round flow, the side-by-side Compare matrix, TOPSIS scoring weighted by your priorities, and brand-colored PDF reports that you can send to a stakeholder without a manual re-format. The Verified Planner badge ships on every brief the moment you upgrade from trial; hotels see it in their inbox.

What Pro does not include: a second login, shared shortlists across teammates, white-label PDF removal, or webhook access. Those live higher up the stack. If you ever want to add a second planner, the Team upgrade is one click in the Stripe portal and pro-rates the day you switch.

Team · €159/month · 5 seats

Team is the agency version. Five seats included means five logins, five inboxes, five planner profiles — each with her own Verified-tier upgrade (the Trusted Planner badge). Pipeline visibility is shared across the five seats by default, so a senior planner can see what a junior is working on without asking. Shortlists, briefs, hotel notes, and BAFO rounds all sync at the workspace level.

Team removes the 3-in-parallel cap, so you can run unlimited active RFPs at the same time, and adds an analytics view that aggregates win rate, average reply time, and median rate uplift across the workspace. The analytics view is the difference between "we run a lot of RFPs" and "we know which of our planners hit best on which hotel type" — and it's what most agencies cite as the reason they moved up from Pro.

Priority email support is included on Team: same inbox as Pro, but flagged for under-4-hour response during EU business hours. If you need SSO, custom DPA terms beyond the standard one, or a dedicated success contact, Agency is the right tier.

Agency · €319/month · 15 seats

Agency is for the firm running fifteen planners and a procurement workflow. You get everything in Team plus white-label PDFs (the Easy RFP mark removed from stakeholder deliverables), the Decision Deck export for board-level reviews, and an approval workflow so a senior planner can sign off before a brief goes out. Webhook and API access lets you wire briefs into your CRM, your finance system, or your internal procurement portal.

Onboarding on Agency is dedicated, not self-serve. A real person from Easy RFP — usually Gustavo, the founder — runs a 60-minute kickoff with your team, sets up your hotel pools and brief templates, and stays available for the first 30 days. The Premier Planner badge — the strongest hotel-side trust signal — applies to every seat on the workspace.

Agency tops out at 15 seats. If you need more, the Talk to sales link on the card opens a real conversation about Enterprise terms: SSO, SCIM provisioning, custom DPA, custom SLA, dedicated success manager, multi-workspace billing. Pricing for Enterprise is quoted, not posted, because the seat count and the requirements vary too much for a card.

Migration cost from Cvent

Honest framing. Where we know a number, we cite it. Where we don't, we say so.

Cvent's pricing is not published on the Cvent site. Public review sources (G2 and Capterra listings, retrieved 2026-05) cluster annual sourcing-module fees in the low-five-figure USD range for mid-market planners, with a separate implementation fee in the first year. We do not quote a single Cvent number because the published range is wide and the number a specific planner pays depends on her team size, modules selected, and contract length. If you want to compare apples to apples, ask Cvent for a written quote and ask Easy RFP for the same.

What we can say with certainty: Easy RFP Agency at €319/month is €3,828/year on monthly billing, or €2,488/year on annual billing. That number is the full invoice — directory access, AI scoring, BAFO, PDF reports, 15 seats, support. Based on planner interviews (n=12, conducted Q1 2026), the published Cvent sourcing-module spend reported by planners who left for Easy RFP was between 4x and 9x the Easy RFP equivalent tier.

Migration itself does not have a fee. We do not charge for the kickoff call, for data import from a Cvent export, or for the rebuild of brief templates. The migration steps are: export your hotel contact list from Cvent as CSV, send it to us, we map it to the directory, you confirm. Median time from kickoff to first brief sent on Easy RFP, across 12 migrated workspaces in 2026: 8 working days. We will publish a longer migration log when n reaches 30.

What you don't pay for

A short list, because the list deserves to be short.

Onboarding. No setup fee, no implementation invoice, no "first-year activation" charge. Pro and Team are self-serve from a magic link. Agency includes a 60-minute kickoff with a real person — Gustavo runs most of them — and it is part of the €319/month, not a line item on top. If a vendor charges €5,000 for onboarding and you change vendors twelve months later, you paid €5,000 for a vendor relationship that ended. We'd rather earn the next month than book the first one.

Training. No per-seat training fee, no certification program, no "advanced user" course you pay extra for. Every feature has a one-paragraph help entry written in the same voice as this page. The product is built so that a senior planner can run her first brief without reading anything; the help entries are there when she wants to know what TOPSIS is doing under the hood, not as a gate. If your team prefers a live walkthrough, the Agency kickoff covers it.

Support. No paid support tier. Every paid plan gets the same email inbox at [email protected], and the same 24-hour response SLA. Team and Agency get priority routing for under-4-hour response in EU business hours, but priority is a routing rule, not a paywall. If your question requires a real call, we book it; the call is not invoiced.

Sandbox access. No paid sandbox, no staging-tier upcharge. Every workspace can flip a "Demo mode" toggle that loads a fake hotel set with safe-to-share data — good for training a new hire, testing a new brief template, or screen-sharing a workflow with a client. The toggle is in settings; the cost is zero.

What is the refund policy?

Annual plans: pro-rata refund of unused months, processed through Stripe within 5 business days. Monthly plans: cancel any time, you keep access until the end of the current billing period, no further charge. We do not refund partial months on monthly plans because Stripe doesn't pro-rate them — but you keep what you already paid for. Edge case: if a billing error is on us, we refund the full amount inside 24 hours, no review.

How do I cancel?

One click in the Stripe Customer Portal — the link is on every invoice and in your account settings. Cancellation takes effect at the end of the current billing period. You stay on the workspace until the period ends; data export stays available for 90 days after the final billing date, so you can pull your hotel lists and brief archives at your pace.

Can I upgrade or downgrade mid-cycle?

Yes — both directions. Upgrade is pro-rated up: you pay the difference for the remainder of the current period and the new tier kicks in immediately. Downgrade is queued for the next renewal: you keep your current tier until the period ends, then the lower tier starts. Stripe handles the math; you don't approve a quote.

How does VAT work?

All prices are EUR ex VAT. For customers inside the EU with a valid VAT number, we apply reverse charge — no VAT on the invoice. For EU customers without a VAT number, local VAT applies at the rate of your country (typically 19–23%). For customers outside the EU, no VAT. The VAT line is shown before checkout, on the Stripe invoice, and on the receipt — never as a surprise after.

How does the annual discount math actually work?

Pro: €79/month × 12 = €948/year on monthly; annual is €616/year (€51/month effective). Savings: €332/year. Team: €159/month × 12 = €1,908/year on monthly; annual is €1,240/year (€103/month effective). Savings: €668/year. Agency: €319/month × 12 = €3,828/year on monthly; annual is €2,488/year (€207/month effective). Savings: €1,340/year. The discount is 35% off the monthly rate, applied to the annual total. No coupon code; the rate is set when you pick "Annual" on signup or in the Stripe portal.

Which payment methods do you accept?

All paid plans accept Visa, Mastercard, and Amex via Stripe. Team and Agency additionally accept SEPA Direct Debit for EU bank accounts — useful when corporate cards are restricted. Agency on annual billing can switch to invoice with 30-day payment terms by request. Apple Pay and Google Pay are enabled on the Stripe checkout for monthly plans. We do not currently accept wire transfer for monthly billing or crypto for any plan.

How does the 14-day free trial work?

Pick any tier (Pro, Team, or Agency). You get full access to all features in that tier for 14 days. No credit card required up front. On day 14, we'll email you to add a payment method to continue — if you don't, the account simply pauses. No surprise charges.

Can I cancel anytime?

Yes. Cancel from your account page in 1 click via the Stripe Customer Portal. You keep access until the end of the billing period. No questions asked, no retention call.

What's the annual discount?

Annual billing saves you 35% versus monthly. That's €332/yr saved on Pro, €668/yr on Team, and €1,340/yr on Agency. Toggle "Annual" above to see the effective monthly price.

What if I need more than 15 seats?

The Agency tier includes 15 seats. If you need more, contact us — we'll size something for your team. Custom enterprise plans available with SSO, custom DPA, and dedicated success manager.

Can I switch between Pro / Team / Agency later?

Yes — upgrade or downgrade anytime from the Stripe Customer Portal. Pro-rated automatically. No re-signing of contracts.

How do you handle GDPR?

We're EU-based, data hosted in the EU. Full DSAR endpoint (Art. 15), erasure flow (Art. 17), right to rectification (Art. 16). Standard DPA available on every paid plan — no negotiation needed. Read our DPA and Privacy Policy.
