Sustainable venue scoring: ESG criteria for venue selection

ESG-aware procurement is changing venue selection. Generic "sustainability claims" are not enough; structured scoring is. Here is the 18-criterion framework that holds up to CSRD-style reporting.

Corporate ESG procurement is reshaping venue selection across European MICE. CSRD (Corporate Sustainability Reporting Directive) and similar frameworks are pushing companies to score vendors — including event venues — on sustainability criteria with documented evidence.

This post walks through the 18-criterion sustainability scoring framework that meets the standard.

The 18 criteria

Energy (3 criteria):

• Renewable energy percentage of venue power consumption
• Energy efficiency certifications (LEED, BREEAM, etc.)
• Energy management system documentation

Water (2 criteria):

• Water recycling or greywater systems
• Water consumption metering and reporting

Food (3 criteria):

• Local sourcing percentage (typically defined as within X kilometers)
• Plant-forward menu defaults
• Food waste tracking and reduction commitments

Waste (3 criteria):

• Recycling and composting programs
• Single-use plastic policy
• Landfill diversion percentage

Transport (2 criteria):

• Public transport access from venue
• EV charging or sustainable shuttle options

Building (2 criteria):

• Building age and refurbishment commitments
• Building certifications (LEED, BREEAM, etc.)

Materials (1 criterion):

• FSC-certified printed materials and signage policy

Certification & reporting (2 criteria):

• Externally audited ESG report (publicly available)
• ESG reportable in CSRD format

How to verify claims

Generic claims ("we are sustainable") are not enough. Verify with documentation:

• Energy certifications (LEED, BREEAM rating)
• Audited ESG report (ask for the most recent)
• Waste diversion percentages with documentation
• Local sourcing methodology

If a venue cannot produce documentation, the claim does not score.

Integrating with the 9-dimension scoring framework

Sustainability is one of the 9 dimensions in the 9-Dimension Hotel Scoring Framework. Within sustainability, use the 18-criterion sub-framework.

For ESG-mandated procurement, weight Sustainability higher in the overall framework (10-20%) and require minimum scores on specific sub-criteria.

Common sustainability mistakes

• Accepting generic claims. Always require documentation.
• Treating sustainability as a single yes/no. The 18 criteria let you score nuance.
• Skipping sustainability when not ESG-mandated. Sustainability often correlates with operational quality and cost discipline.
• Not documenting your scoring for future reference. ESG reporting requires the historical record.

How sustainability fits into the procurement record

For organizations with CSRD or similar reporting obligations, document:

• The framework used
• The weights applied
• The scores per venue
• The decision rationale
