Why this template
A product launch is a stage show with a hero — your product. The venue is part of the marketing. Generic event templates don't ask about photogenic space, brand-takeover potential, press accessibility, lifestyle partnership angles, or the production load-in needs of a high-impact reveal moment. This template is built for B2B press launches, B2C consumer launches, and the mixed-press-plus-customers archetype.
The 12 sections of the template
1. Launch model
B2B (executive press + customers) / B2C (lifestyle + consumer media) / Mixed. Attendee count split by audience type. Whether press is morning, afternoon, evening, or split.
2. Venue requirements — iconic factor
What kind of 'iconic' (architectural / heritage / modern art / industrial / garden). Photo-readiness — every venue wall should be a publishable backdrop. Brand takeover capability (signage, projection, full-room theming). Exclusive use vs co-shared.
3. Production space
Stage size for product reveal. Lighting rig capacity (truss + DMX-controlled). Projection mapping capability. Sound system specs. Backstage/green-room space for executives + presenters before reveal.
4. AV — broadcast-ready
Video walls / LED panels. Cameras for live stream (multi-camera ideally). Recording (master file deliverable). Confidence monitors for stage. Tally lights. Earpieces for speakers if required.
5. Press accessibility
Press room or working space (Wi-Fi, power, quiet). Photo position area (raised, with sight line to stage). Interview areas (private but on-property). Press shuttle from city centre if venue is remote.
6. Brand takeover assets
Window vinyl / step-and-repeat / interior signage / projection / exterior banner. Specify which assets venue allows and which require permits. Lead times for permitted exterior work.
7. Cocktail + canapé reception
Pre-event arrival cocktail (typical 30-45 min). Canapé volume (8-12 pieces/pax over 60 min). Premium beverage program. Mocktail offerings. Service style (passed for press, station for customers).
8. F&B — main reception
Format (cocktail / seated / dinner-and-dance for B2C lifestyle launches). State chef/menu collaboration angle if relevant (Michelin partner, celebrity chef takeover for content angle).
9. Press kit + giveaways
Per-attendee press kit + product samples. Storage during event. Distribution mechanism (table at exit / individual delivery / pre-positioned at seats). Giveaway logistics including any temperature-sensitive items.
10. Photographer + videographer access
Hotel's photographer included or BYO? Number of photographers needed. Drone/aerial permission. Backstage candid access. Same-day delivery requirement (typical 4-hour turnaround for hero shots).
11. Logistics
Loadin window (24-48h pre-event ideal for full production). Loadout window (post-event). Truck/van access. Equipment storage day-of. Power capacity for production gear (often 3-phase needed for big rigs).
12. Pricing — launch tiered
Total event package. Itemised: venue, F&B, AV/production, press support, brand takeover, photographer. Tiered: base, mid (+brand takeover), premium (+full production package). State that you'll source production separately if hotel doesn't have in-house capability.
How to use it
- Send 12-16 weeks before launch. Iconic venues book 6-12 months out for premium dates.
- Visit 3 venues. Photogenic from one angle ≠ photogenic from all angles needed for press coverage.
- Get production company involved before final venue selection. They'll catch capacity issues hotel sales reps miss.
- Confirm permit lead times for exterior brand takeover. Some EU cities require 30+ days for street-facing signage.
- Build cancellation insurance into contract. Product launches can shift due to product readiness — venue must accommodate ±2 weeks shift.
Common mistakes
- Booking on photo alone. Iconic in daylight ≠ iconic in evening lighting setup.
- Forgetting the loadin window. A 24h loadin + 24h teardown means the venue is unavailable for other use 48h around your event — confirm this is included not extra.
- Skipping Wi-Fi capacity test. Press livestreaming + 100 phones on Instagram simultaneously requires enterprise-grade wireless.
- Choosing venue without production company input. Hotel sales reps over-promise on AV; production companies validate.
